Administrative Assistant for the Center for Academic Innovation Position Announcement Provide administrative support services to the Executive Director of the Center for Academic Innovation (CAI), the Director of Distance and Digital Learning (DDL), the Director of the Center for Teaching & Learning (CTL), and faculty and staff members within these organizations. Maintain records, budgets, databases, and assist the directors, faculty, and staff members with a variety of administrative functions relating to the smooth operation of CAI, DDL, and CTL. Resolve non-routine problems in a thorough and timely manner; use discretion and identify who to go to in order to resolve issues and complete tasks. Responsibilities Support directors, faculty, and staff members with administrative support, including but not limited to scheduling of courses and rooms, tracking budgets and other financial data, placing maintenance requests, taking minutes at meetings, etc. Assist in screening-routing telephone calls, receiving messages, and directing faculty, staff, students, and visitors to the proper offices Prepare and track purchase requisitions, travel authorizations, purchase card statements, and other University forms and processes as needed Assist in maintaining the websites and social media applications for CAI, DDL, and CTL Assist directors, faculty, and staff members in database management and maintaining budgets Maintain and oversee inventories of equipment and supplies Research and gather information for projects Under the guidance of the directors, hire, train, and supervise part-time clerical staff within CAI, DDL, and CTL. Assist employees of CAI, DDL, and CTL with office set up, scheduling of classrooms-conference rooms on Event Management System, scheduling-catering for events, planning conferences such as the Annual Teaching & Learning Conference, etc. Learn and apply emerging technologies and advances as necessary to perform duties in an efficient, organized, and timely manner Other duties as assigned by the directors of CAI, DDL, and CTL Qualifications Associate's degree required, Bachelor's degree preferred At least three years of office experience, experience working in higher education preferred Strong interpersonal skills with an ability to learn quickly, be creative, work independently, set priorities, and meet deadlines Must be well-organized, ability to function well in a changing environment, and enjoy the administrative challenges of working with a number of programs as well as be attentive to detail Ability to interact with administrators, faculty, staff, and students at all levels while in a fast-paced environment, remaining proactive, efficient, with a high level of professionalism and confidentiality Demonstrated ability to develop and maintain financial records, budgets, and various databases Administrative support staff experience preferred Strong computer skills in word processing, spreadsheets, desktop publishing, library and web-based research, updating and maintaining websites and social media applications, and email; Google application experience and University Canvas experience preferred Excellent written and oral communication skills; demonstrated ability of English grammar, punctuation, and correspondence forms Demonstrated ability to perform general office practices and procedures including office machines, inventory, ordering, etc. Excellent customer service and support-oriented skills in interactions with administrators, faculty, staff, and students About the University: Dixie State University is the newest regional state university in the Utah System of Higher Education.
