Work collaboratively with and support the Administrative Assistant, Managers and other office staff member to ensure deadlines are met and priorities accomplished. Essential Responsibilities and Duties 1) Answer the phone courteously, take messages, and direct visitors. 2) Perform office duties; enter data, filing, create calendar appointments, receive and distribute mail and packages. Operate copy machine, scanning, e-mails. 3) Track OSHA and environmental health training compliance for all SLCC Staff - Faculty - Students and Volunteer's. 4) Responsible for signature logs including posting incoming and outgoing documents and distribution. 5) Creating work order tickets for maintenance 6) Assist with meetings, including agendas and minutes and assignments 7) Handle a variety of work that is confidential in nature 8) Maintain the professional and physical appearance of the office and staff workroom. 9) Other duties as assigned. Essential Responsibilities and Duties Continued 1) Knowledge of standard office practices and procedures. 2) Proper business English, including spelling, punctuation and grammar for reading, writing, and speaking skills. Proficient in Microsoft Office Suite, including Word and Excel. 3) Excellent interpersonal and communication, with a diverse personalities 4) Communicate effectively orally and in writing. Perform clerical duties under pressure. Office methods, techniques, practices and procedures 5) Computer applications (e.g., Microsoft Word, Excel, Outlook, data retrieval systems, etc.) Excellent, accurate keyboarding skills required. 6) Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College. Preferred Qualifications An Associate degree in a related field is strongly preferred, the ideal candidate will be a self-starter, self-motivated, and well organized individual with a strong ability in attention to details. The successful candidate will have a positive attitude with a focus on providing support and service, meeting deadlines, and working independently and or part of a team. Minimum Qualifications Education and experience; high school diploma preferred, three (3) years of paid secretarial or related work experience. Additional related education, employment, and or training may be substituted. Able to work with minimal supervision in a fast paced, demanding environment, multitask quickly and efficiently. Valid Utah Driver License. Knowledge, Skills & Abilities Strong computer skills with working knowledge of Microsoft Office (Word, Excel, Access, and Power point), data base programs CMMS Systems (Computerized Maintenance Management System) and other software programs as the need arises.
