Job Summary

Daily: 70%

•Review patient charges inEPICBilling Website

o Review patient charges for insurance or study purposes

•Customer service to coordinators and staff in adhering to protocols

•Make reservations for patients for hotel stays

•Track charges that are pass through costs, copy and record for invoicing

•Enter/remove patients to/from uTRAC

•Add new trials to uTRAC

•Contacting vendors to make payment arrangements for services outside our facility that we are required to pay

•Misc Accounts Payable and supply ordering for studies

Weekly: 25%

•Prepare check requests for patient stipends/reimbursements

•Update patient payments spreadsheet with charges based off of study visits

•ReviewSPRLfor accuracy against protocol

•Spend time becoming familiar with protocols, review billing grids/calendar specifications and review up front for potential issues

•Review trials for close out of patient charges


Monthly: 5%

•Review and post invoices from the Investigational pharmacy department

Problem solving:

Within the framework of policy, the candidate will decide, which charges are correctly posted, and which charges need to be reversed in researching charges withinEPICreconciling to each individual study.

Challenges encountered include obtaining correct information on patient accounts, verifying patient information, and using appropriate channels to ensure timely corrections on patient accounts. The candidate must ensure that patient charges are reviewed within required deadlines and process accurately a high volume of transactions.


Responsible for patient billing compliance as negotiated in sponsored contracts. The successful candidate would be familiar with insurance claim processing to assist them in identifying procedures on a billing grid to determine which patient charges are would be billed to insurance and which charges should be paid by the study using the Universities billing systems,EPICand uTRAC. Prepare paperwork for patient stipends/reimbursements, make overnight accommodations, and negotiate discounts with outside facilities for study procedures if a study procedure is performed outside of our organization. Review invoices for patient visits for accuracy. Assist Pre Award team in identifying procedure codes andCPTcodes as needed. Provide customer service to coordinators and patients as needed. Assist as needed for special projects.

Minimum Qualifications

Two years of accounting or medical insurance claim experience; a basic understanding of debits and credits, word processing, spreadsheet, and ten-key by touch skills, strong analytical skills, and effective verbal and written communication and human relation skills required. Familiarity with commercial or government billing requirements and knowledge of insurance, coding, and medical terminology is preferred.
